Please read these Terms carefully before using the Pickup Dispatch platform. By accessing or using the Services, you agree to be bound by this Agreement.
1. Who is responsible
Pickup Technologies, operator of Pickup Dispatch, is the controller of the personal data you send when you apply for a role on this website. This notice covers job applications only. The general Privacy Policy covers everything else.
2. What we collect
Only what the application form asks for:
- your full name, email address and the country you live in;
- your résumé (a PDF file) and, if you choose to add it, one link to your LinkedIn profile or portfolio;
- your answers to the few questions shown for the role;
- the language of the page, the date and time you applied and confirmed, and the version of this notice you accepted.
We do not ask for a photo, date of birth, gender, nationality, tax or identity numbers, and we ask you not to include them in your résumé. We do not store your IP address in readable form: we keep only a one-way fingerprint of it, used to limit automated abuse of the form.
Your application is registered only after you confirm it from the email we send you. If you do not confirm within 48 hours, everything you sent, including your résumé, is deleted automatically.
3. Why we use it
We use your data only to evaluate your application for the role you applied for and to contact you about it. The legal basis is taking steps at your request before entering into a contract, together with our legitimate interest in running a fair and secure selection process.
We do not use automated decision-making or profiling. People read every application. We do not use your data for marketing and we do not sell or share it for other purposes.
4. Who can see it
Only the people at Pickup Technologies involved in hiring for the role, through an internal workspace protected by two-step verification. Access is granted person by person, and every time someone opens an application, downloads a résumé, exports or deletes data, the action is recorded in an audit log.
Emails to and from you travel through our email provider. We do not pass your application to recruiters, job boards or other third parties.
5. Where it is kept
On our own server located in the European Union. Your name, email address, country and link are encrypted in the database. Résumés are stored in a private area that cannot be reached from the internet.
6. How long we keep it
We keep a confirmed application until you ask us to delete it. You can ask at any time, including while the selection is still open, and we delete your data and your résumé without asking for a reason. We also review our archive periodically and delete applications older than 24 months that are no longer needed.
If you are hired, the documents needed for the working relationship are kept under the rules that apply to it.
7. Your rights
You can ask us for a copy of your data, to correct it, to delete it, to restrict its use or to object to it, and you can withdraw your application at any time. If you are in the European Union or the United Kingdom you can also lodge a complaint with your data protection authority.
8. Contact
Write to privacy@pickupdispatch.com from the email address you applied with, or tell us the reference shown in your receipt (for example PD-7K2M9Q). We answer within 30 days.
Recruitment fraud: we only write from @pickupdispatch.com addresses and we never ask candidates for money, at any stage.
